Overview
The Wealth Manager Assistant will provide high-quality client service, administrative and operational support to the Wealth Management team, with specific focus on client onboarding, servicing, compliance coordination and investment administration. The role supports the delivery of an integrated wealth management experience for high-net-worth clients by ensuring accurate documentation, effective follow-through, proactive query resolution and strong collaboration with Wealth Managers, Portfolio Managers and specialist teams.
What will you do?
- Provide proactive client and intermediary support by managing queries, processing requests and ensuring timely follow-through on portfolio, tax, reporting and administrative matters.
- Support Wealth Managers and Portfolio Managers with client servicing activities, client review preparation, documentation, follow-ups and coordination with internal stakeholders.
- Coordinate the end-to-end client onboarding process for medium and high-risk accounts, including the collation, quality checking and submission of required documents.
- Complete AML, FICA and sanctions screening activities in line with regulatory, compliance and governance requirements.
- Maintain accurate client records, documentation and workflow updates to support a consistent and well-controlled client service experience.
- Coordinate corporate actions, private placements, share transfers and related client documentation with Portfolio Managers, Wealth Managers and clients.
- Update cost prices in Evolution and ensure relevant investment administration actions are completed accurately.
- Monitor safe custody fees on the BDA system and assist with related client queries or escalations.
- Manage GTR loadings and related client queries, ensuring accuracy and appropriate escalation where required.
- Assist with offshore administration and coordinate information required from clients, internal teams and external providers.
- Assist Portfolio Manager Assistants and the broader Wealth Management team with ad hoc administrative, client service and operational duties when required.
- Operate in accordance with all applicable policies, processes, compliance standards and service expectations.

Qualification and experience
- Tertiary and or commercial related qualification, preferably in finance, accounting, investments or a related field.
- A minimum of five years’ experience in the same or a similar client service, investment administration or wealth management support role.
- Experience within the financial services industry is essential.
- Experience in a private client, stockbroking, wealth management or investment administration environment would be advantageous.
- Practical exposure to client onboarding, FICA, AML, sanctions screening, client records, investment administration and regulated process requirements would be advantageous.
- Working knowledge of BDA, Evolution and/or similar investment administration systems would be advantageous.
Knowledge and skills
- Working knowledge of private client processes, procedures and service standards.
- Understanding of the stockbroking, investment administration and wealth management support environment.
- Knowledge of client onboarding, AML, FICA, sanctions screening and documentation quality control requirements.
- Working knowledge of BDA would be advantageous.
- Knowledge of Evolution and related investment administration processes would be advantageous.
- Strong computer literacy, including Microsoft Office.
- Excellent numeracy, analytical and problem-solving skills.
- Strong planning, prioritisation and stakeholder coordination skills.
