What is the purpose of this job?
To provide technical and administrative support to ensure timeous, cost-effective, and compliant completion of building, retail outlets and maintenance projects and tasks.
RESPONSIBILITIES:
What are you responsible for doing?
• Perform quality inspections on work performed by contractors, team members, and Centre Management contractors in new and revamped retail outlets
• Review and action the Maintenance Checklist for each project and submit to line manager
• Perform quality inspections in retail outlets to confirm that job cards have been completed to required standards
• Ensure maintenance is carried out according to the Maintenance Plan
• Schedule allocated store maintenance including but not limited to pest control, fire extinguisher service, aircon service, plumbing repairs, aluminium and glazing shop front repairs, in-store carpentry, ceiling repairs and replacements, smoke detector repairs and flooring repairs.
• Complete all job cards allocated from the Maintenance Tracker
• Perform minor maintenance tasks as and when required including traveling to retail outlets to perform allocated maintenance tasks
• Review project plan for new retail outlets and allocate work to workshop team members
• Monitor and address any concerns regarding attendance, performance, and productivity of the workshop team, and provide feedback to line manager
• Supervise work teams in retail outlets and provide feedback to the line manager regarding quality of team and contractor workmanship
• Liaise with contractors, Centre Management, service providers, and government departments
• Obtain quotes as and when requested from the list of preferred suppliers, and forward to line manager for approval
• Source and obtain quotations from potential new suppliers including on-site visits to verify required specifications and quality requirements
• Complete all required documentation and council submissions accurately and submit them in a timeous manner thereby limiting potential penalties
• Submit required council submissions, including but not limited to shop drawings and obtain Occupancy Certificates, Trading Licenses, and Fire Clearance Certificates, providing feedback to the line manager and or architects, where relevant.
• Monitor the work performed, receive Certificates of Compliance from contractors, submit copies to the Landlord and retain a colour copy for company records, on an annual basis
• Perform property inspection of Head Office independently and together with the landlord, as per lease agreement
• Oversee all property maintenance being actioned in HO, confirm attendance of service provider, and monitor on site behaviour in line with house rules
• Compile information on claims including whether the cost is for the company or Centre Management account, obtain quotes and submit insurance claims to line manager for processing
• Action any items raised by Risk and Compliance following a store inspection
• Attend and participate in meetings, provide feedback to line manager, and action items where required
• Perform department administration duties including but not limited to printing and sharing store layouts, receiving, and sending emails, responding to telephonic queries and requests from stores.
• Maintain vehicles (e.g., checking fluid levels, fuelling, cleaning, etc.) and ensure safe operation of vehicle.

OTHER JOB REQUIREMENTS
What theoretical knowledge (e.g., degree / diploma) does the job require?
• Grade 12
• Degree/Diploma in Construction Management/Project Management/SAFMA certification or relevant qualification is a requirement
• Technical qualification inclusive of electrical, air conditioning an advantage
• Root cause analysis is an advantage
• Driver’s license: Code 8
What experience (e.g., previous exposure) does the job require?
• Minimum 3 – 5 years’ experience in a retail/property/facilities or related environment
• Minimum 3 – 5 years’ experience supervising a technical team
• Minimum 3 – 5 years’ experience working with sub-contractors
• Minimum 3 – 5 years’ experience communicating with government departments and Centre Management
• Property maintenance experience requiredWorking knowledge of equipment, materials, and supplies used in facilities and property management including but not limited to air conditioning, electrical installations, fixtures, fittings, Carpentry
• Asset management
• Knowledge of legal compliance and municipality compliance requirements
• Processing of insurance claims
• Good understanding and experience of OHASA
